1. Acceptance of Terms

By accessing or using EmPortal ("the Platform"), you agree to be bound by these Terms & Conditions. EmPortal is an internal workforce management system provided for use by employees, contractors, and authorized personnel of the organization. If you do not agree to these terms, you must not access or use the Platform.

2. Eligibility & Account Access

Access to EmPortal is granted solely to individuals who have an active employment or engagement relationship with the organization and have been issued valid login credentials by IT/HR administration. Accounts are personal and non-transferable. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify IT Support immediately if you suspect unauthorized access to your account.

3. Acceptable Use

You agree to use the Platform only for legitimate business purposes related to your role, across its modules — including attendance & leave management, timesheets and task tracking, performance appraisals and skill records, talent/recruitment (drives, job openings, candidate and interview data), knowledge & training assignments, support tickets, asset management, workspace/meeting room booking, exit and resignation workflows, and internal dashboards/reports. You agree not to: (a) attempt to gain unauthorized access to data, accounts, or systems beyond your assigned role and permissions; (b) upload or transmit malicious code, viruses, or any content that could disrupt the Platform; (c) misrepresent attendance, working hours, task status, or performance data; (d) use the Platform to harass, defame, or discriminate against any colleague or candidate; or (e) copy, resell, sublicense, or reverse-engineer any part of the Platform.

4. Data Entered by Users

You are responsible for the accuracy of information you submit through the Platform — timesheets, leave requests, task updates, appraisal responses, candidate/interview feedback, asset requests, support tickets, and personal details, among others. Knowingly submitting false or misleading information may result in disciplinary action in accordance with company policy, in addition to any consequences under applicable law.

5. Confidentiality & Intellectual Property

All content, data, source code, designs, and materials made available through EmPortal are the confidential and proprietary property of the organization (or its licensors) and are protected by applicable intellectual property laws. You may not disclose, distribute, or reproduce any non-public information accessed through the Platform outside the organization, except as required for your job duties or as compelled by law.

6. System Availability & Modifications

The Platform is provided on an "as available" basis. Scheduled maintenance, updates, or unforeseen technical issues may result in temporary unavailability. The organization reserves the right to modify, suspend, or discontinue any feature of the Platform at any time, with or without prior notice, at its sole discretion.

7. Monitoring & Compliance

Use of the Platform, including but not limited to attendance logs, login activity, and system access, may be monitored, recorded, and audited by the organization for security, compliance, and operational purposes, in accordance with applicable law and the Privacy Policy.

8. Limitation of Liability

The organization shall not be liable for any indirect, incidental, or consequential damages arising from your use of, or inability to use, the Platform, including but not limited to data loss, system downtime, or errors in automatically generated reports, except where such liability cannot be excluded under applicable law.

9. Termination of Access

Access to the Platform is automatically revoked upon termination, resignation, or end of engagement, or may be suspended earlier for violation of these Terms, company policy, or applicable law, at the organization's discretion.

10. Governing Law

These Terms are governed by the laws of the jurisdiction in which the organization is registered, without regard to conflict-of-law principles. Any disputes arising from use of the Platform shall be subject to the exclusive jurisdiction of the competent courts of that jurisdiction.

11. Changes to These Terms

These Terms may be updated periodically to reflect changes in the Platform, legal requirements, or company policy. Continued use of the Platform after such changes constitutes acceptance of the revised Terms. The "Last updated" date above reflects the most recent revision.
